Quotes
- You are able to create quotes from the quote list screen or directly from jobs
- When a quote is created from a job the quote is automatically linked to it and will pull the customer information from the Job and will allow you to add the inventory items that were used on the Job.
Creating a quote from quote list screen :
- Select Quotes from the side menu.
- Select Create on the top right corner.
- Select a customer if you want to add your client details
- Click on ADD LINE ITEMS to choose the inventory or products required.
- Add Item: add any item from your Inventory
- Add Description: Add text placement holder for item. No price for this line.
- If Quote is linked to a job with an Asset – Add Asset: Add an Asset from the linked Job to this Quote.
- If Quote is linked to a job with Items Used – Add Items Used: Add any or all items that were added to the Job in the Items Used section.
- Select Create Quote at the bottom right corner
What does each status mean ?
Draft
- When a quote is created it will start off in the Draft status.
- When a quote is in the Draft status, you are able to change the line items you have added onto the quote.
Approved
- An quote can be Approved either by clicking on Approve quote
- When a quote is in the Approved status, it means you are awaiting for the customer to Accept or Decline the quote.
- This can be done manually by you or by the customer going to the customer zone and clicking accept/decline.
Accepted
- Once a Quote is accepted, you are able to Copy-To an Invoice/Purchase order which will copy the customer, contact details and all the items that are on the quote.
- In this status you would also be able to sync the quote as an invoice to your accounting partner (Xero , Sage, QuickBooks)
Revert to Draft:
A quote is alway able to be reverted to draft as long as it has not been synced to any of the integration packages.
