JOB STATUSES
Statuses
Statuses help businesses create a workflow which will help them track and stay in control of their processes.
Creating Job Statuses:
Select Settings → Job → Statuses from the settings menu
(Opens this screen by default).
Click on Add Status.
Name the status by filling it in the Status Label field and select a colour for the status
Click Add Fields to add any extra relevant information for Job Cards, for example an Employee List to be able to assign technicians.
Select Required if you want to force the fields to be filled in on that Status.
In each status there are a few things that can be set :
Start/Stop Timers – automation for timers to track how long employees are working on a job, this allows better control of resources
Triggers – this assists with automation with communication within the business. Please note triggers can only be added to status after it is created
Additional fields – These can be added on statuses and made required if necessary at a certain status
Close job – Closes the job when a status is hit
Complete Tasks/Forms – Cannot enter this status unless tasks and required form fields are filled in
Click Create to complete the process.
Adding Triggers to Statuses:
Select Settings → Job → Statuses from the settings menu
(Opens this screen by default).
Click on a Status to add a Trigger to that status
Click on the block that says Triggers
Click New Trigger
Select a Notification Type to send message to:
Assigned Employee – to the technician assigned to Job.
Customer Contacts – to all contacts for the customer.
Customer Contact for Job Card – to the contact that is on the Job Card.
Employee – to an employee of your choice.
Employee All – to all of your employees.
Select Email or SMS.
(SMS charges apply)
Select/Create a Template ,ServCraft has a default messages list from which you can choose from, for the message you want to be sent
Attach any of the Job Card and documents you want to send
If you would like more than one message to be sent for that status, you can click Add Another Action. This would allow you to send different messages off one trigger, and can go to different people.
